Tournaments

The Tournaments section lets venue admins create, manage, and run competitive events with structured brackets, scoring, and live results.

The Tournaments section allows venue admins to create, manage, and run competitive events with structured brackets, scoring, and results. Tournaments are designed for organized play such as leagues, cups, and competitive formats (e.g. Americano), and provide tools for participant management and live results tracking.

This page follows the same structure and principles as Events, with additional tournament-specific configuration options.

The Tournaments page lists all tournaments created at the venue, showing key details at a glance:

  • Tournament name
  • Status (draft / published / confirmed)
  • Date & time
  • Participants registered

Admins can click any tournament to open its management view.


πŸ‘ Tournament Management View

Opening a tournament shows a tab-based view with:

Tournament information

  • Tournament name & description
  • Creation date
  • Total brackets
  • Total teams & players
  • List of all configured brackets
    • Format (e.g. Americano)
    • Gender category
    • Participant limits
    • Registration status
  • Possibility to cancel the bracket or download a CSV File of it (Under 'Actions')
  • Participants and their information. Also options to:
    • Edit participant details
    • Set player as tournament manager
      • Tournament manager can set scores for any tournament game, also outside of his own.
    • Manage player's payment
    • Replace the player
    • Remove the player from the tournament

Brackets

  • Shows generated games for the tournament
  • Under the bracket name there are possibilities to:
    • Add matches
    • Reset the bracket
    • Generate the bracket
  • Leaderboard with information
  • Possibility to set scores for each match
    • Also possibility to set forfeits and start/end times
  • Round progress to know which matches have or have not been played

Results

  • Standings / leaderboard
  • Shows data about the tournament, per player
    • Ranking
    • Points won
    • Matches played
    • Matches won
    • Matches lost
    • Draws

Settings

Under settings tab admins can reconfigure the tournament. Be careful when changing crucial information as the schedule or tournament fees, as the players will not be automatically notified. Note that players who have already paid the participation fee will not have to pay again.


βž• Creating a Tournament

Click β€œCreate tournament” to open the tournament setup flow. The flow consists of three steps:

  1. Time and location
  2. Tournament info
  3. Participants

⏱ Step 1: Time and Location

This step defines when and where the tournament takes place.

Required & optional fields

  • Sport type
  • Link to external venue
    • Used for cross-venue tournaments
  • Event location
    • Free-text address or map selection
    • Mainly used if the tournament is not held at your venue
  • Location on map
    • Pinpoint exact coordinates if needed
  • Schedule
    • Start and end date & time
  • Recurrence
    • Only once
    • Recurring tournament
      • Recurring tournaments can be set to recur every X weeks for X times.
      • For example: Creating a recurring event for 1 week 4 times creates four events on the same weekday to the same timeslot
  • Registration settings
    • Registration opening
      • Example: Registration opens 1 week before event
    • Registration ends
      • Example: One hour before event
  • Reminder notification
    • Automated reminder timing for participants

✏️ Step 2: Tournament Info

This step defines the competitive structure and pricing.

Tournament details

  • Tournament name
  • Tournament description
  • Tournament picture
    • Promotional image shown on venue profile

Brackets

Each tournament must have at least one bracket. You can add multiple brackets if needed.

For each bracket, configure:

  • Bracket name
    • Example: Mixed A1, Women B1, Men C2
  • Format
    • Americano
    • Team americano
    • Single elimination
    • Double elimination
    • Round robin

  • Gender
    • Open / Men / Women / Mixed
  • Game configurations
    • In americano "points per match"
      • Most common is 32
    • In eliminations and round robin "best of X" and "Games to win a set"
  • Amount of participants
    • Unrestricted
    • Restricted
      • Overall minimum & maximum participants
      • Per-court minimum (optional)

⚠️ If the minimum participant limit is not met, the tournament will be canceled

Pricing & payments

  • Tournament price per participant
    • Gross price
    • VAT percentage (0%, 13.5%, 25.5%)
  • Enabling Finnish sports/culture benefit
  • Discounts
    • Discount groups
    • Membership discounts
    • Promo codes
  • Applicable session cards
    • Select cards usable for tournament entry

Courts

  • Select one or more courts used by the bracket

Click Add bracket to include additional brackets.


πŸ‘₯ Step 3: Participants

This step controls visibility and participant access.

Tournament visibility

  • Public
    • Visible on venue profile and via share link
  • Unlisted
    • Hidden from profile, accessible via link
  • Private
    • Only invited participants can access

Internal notes

  • Notes for staff only
  • Not visible to participants

Click Create tournament to publish the tournament.


πŸ† Running a Tournament

Once participants are added and registration is complete:

  • Brackets generate rounds and matches automatically
  • Each round displays:
    • Matchups
    • Assigned players
    • Match status (Not started / Ongoing / Completed)
  • A live leaderboard updates based on results

Players can:

  • Set scores for their own matches via mobile app or browser
  • See the leaderboards

πŸ‘‘ You can assign one player as the tournament manager. This player can set scores for each match played.

Admins can:

  • Start and manage matches
  • Set scores
  • Track progress per round

πŸ“₯ Exporting Participants

You can export all participants from a tournament as a CSV file. The export covers all brackets in the tournament.

  1. Find the tournament in the Tournaments list.
  2. Open its Actions menu (the button next to the tournament name).
  3. Choose "Download participants as CSV".
  4. The file downloads automatically.

The CSV includes one row per participant with the following columns:

This is separate from the per-bracket CSV available under each bracket's Actions dropdown inside the tournament management view.


❌ Canceling and Deleting a Tournament

Canceling

You can cancel a tournament from its Actions menu at any time before it has already been canceled.

  1. Open the tournament you want to cancel.
  2. Click the Actions button and select Cancel tournament.
  3. In the modal, choose how to handle refunds for participants who have already paid:
    • Handle automatically via Thril β€” follows Thril's standard rules (original payment method if eligible, otherwise credits).
    • Via original payment method β€” refunds via Stripe for payments made online through the platform.
    • Refund as credits β€” issues refunds as venue credits to each participant.
    • Handle manually β€” settle refunds outside Thril (cash, benefit, etc.).
    • No refund β€” do not issue a refund.
  4. Optionally enter a Cancellation message to include in the notification sent to all registered participants.
  5. Click Cancel tournament to confirm.

Participants are notified by email. The tournament status changes to Canceled.

Deleting

Once a tournament is canceled, a Delete tournament option appears in its Actions menu.

⚠️ Deletion is permanent and cannot be undone.

  1. Open the canceled tournament.
  2. Click Actions and select Delete tournament.
  3. Confirm the deletion.

You are redirected back to the Tournaments list after deletion.

  • Use clear bracket names to avoid confusion
  • Set realistic participant limits per format
  • Always assign correct courts before starting
  • Use reminders to reduce no-shows
  • Upload a tournament image for better visibility
